This notice explains how Kisubi Hospital uses information in the Kisubi Hospital appointment portal. It covers booking information, not a full electronic medical record.

What we collect

Your name, email address, phone number, account password (stored as a secure hash), appointment date and time, selected care provider, visit type, SMS preference, and any short booking note you choose to give. We record limited security and account activity to protect the service.

How your details are used

The clinic uses these details to create and manage your account, review appointment requests, schedule visits, communicate confirmations, and send consented reminders. Please do not put diagnoses, test results, or other sensitive medical details in booking notes.

Who can see them

You can see your own appointments. Your assigned doctor can see your visit and contact information. Authorised clinicians and administrators can manage hospital bookings. The clinic’s authorised hosting and technical providers may process data to operate and maintain the service.

About appointment SMS

SMS is optional. You can opt in or out in My profile at any time. If the clinic connects an SMS provider, your number and a short appointment message are sent to that provider. Messages include a clinic name, appointment reference, date, and time — never clinical notes or diagnoses. SMS is not encrypted and may be visible to someone who can access your phone. Provider acceptance does not guarantee handset delivery.

Keeping your account safe

Use a unique passphrase and do not share it. Sessions expire after inactivity. Password changes invalidate other active sessions. The portal uses role-based access, request validation, and a security audit trail; these measures do not remove every security risk.

Your choices and requests

Update your contact details and SMS preference in My profile. To request access, correction, account closure, or information about retention, contact the hospital. Some records may need to be retained for legitimate clinical, operational, or legal reasons; the hospital determines its retention policy.
